Question:
I've received an email from Jibe Support stating that my disk usage has exceeded my disk quota. What should I do?
Answer:
In most cases your mailbox is full and this is causing you to go over your quota. Your mail client (i.e. Outlook) has likely been set to leave copies of messages on the mail server indefinitely. To resolve this, set your mail client to remove messages after, at the most, one week. It is also advised that your mail client be set to remove messages from the mail server after they have been emptied from your deleted items folder.
In Outlook:
- Click on the Tools menu and select Email Accounts.
- Click Next.
- Double-click on your email account (normally listed as your domain name).
- Click on the More Settings... button.
- Click on the Advanced tab.
- If the box labeled 'Leave a copy of messages on the server' is checked, proceed to Step 7. If not, call (801 433 5423) or email support@jibemedia.com, as your quota problem may not be related to email.
- Put a check in the box labeled 'Remove from server after <number> days'. Set <number> to 4 or less. Or, if you do not need messages to be stored on the server, you can simply stop all copies of messages from being stored at all by removing the check from 'Leave a copy of messages on the server'.
Note: if your mobile device is configured to check your mail also, you may want to leave copies of messages on the server for at least one day. - Put a check in the box labeled 'Remove from server when deleted from Deleted Items'.
- Click Ok.
- Click Next.
- Click Finish.
- Click the Send/Receive button to clear expired messages from the server and bring your disk usage back down below your quota.
